Key Responsibilities
- Provide high-level administrative and secretarial support to the Executive Director.
- Manage the Executive Director’s diary, appointments, meetings and schedules.
- Prepare correspondence, reports, presentations, minutes and other official documents.
- Coordinate meetings, prepare agendas and circulate meeting documentation on time.
- Maintain efficient filing and records-management systems, including confidential records.
- Coordinate travel arrangements, itineraries and related logistics.
- Liaise professionally with internal and external stakeholders on behalf of the Executive Director.
- Handle sensitive information with the highest degree of integrity, confidentiality and discretion.
- Screen visitors, assess the assistance required and provide courteous, professional service.
- Undertake any other duties assigned by the Executive Director.
Person Specifications
- Degree or Higher National Diploma in Secretarial Studies, Office Administration, Business Administration or an equivalent qualification.
- At least three years’ relevant experience, preferably supporting a senior executive or executive-management office.
- Strong proficiency in Microsoft Office.
- Demonstrated integrity, confidentiality and sound judgement.
- Strong organisational, planning and time-management skills.
- Excellent written and verbal communication, interpersonal skills and the ability to work effectively with senior management and diverse stakeholders.
- Ability to work under pressure, manage competing priorities and meet deadlines.
